List Your Form Library
Lists the forms the workspace already holds, newest first, each with how many times it has been filled and when it last was.
Overview
A form you uploaded once is yours to fill again. This answers what you have, which is a different question from what is attached to the package in front of the agent: the attachment listing sees only the files of this package, so an agent asked "what forms do I have?" has nowhere else to look.
Every form comes back with what has been done with it, so "have I filled this one before?" is answered in the same breath, and a form named here is filled without being attached again.
What It Does
| Capability | What it means for you |
|---|---|
| Your library, newest first | The forms the workspace holds, the most recently added at the top |
| Only what can be filled | A form the app never managed to turn into fields is left out, so nothing listed sends the agent down a dead end |
| The same library your forms screen shows | A file the app could not make sense of is left out of both, by the same rule |
| What has been done with each | How many times a form has been filled to a finished document, and when it last was |
| Fill it without attaching it | A form listed here goes straight to the fill, with no upload and no conversion |
| A page, and the size of the library | One call answers with the newest forty and says how many the workspace holds in all |
When the Agent Chooses This Tool
Available in the Fill Any Form workflow. The appraisal-report, pre-bid and coating QA workflows do not have it.
- You attached nothing, so there is nothing else to look at.
- You ask what forms you have, or what has been done with one.
- You name a form you did not attach, "fill my W-9".
- You attached the form you want filled, and then it is not called at all: that form is right here.
An empty library is an answer of its own, and the agent is told to give it: you have none yet, and attaching one here adds it.
Inputs and Outputs
Takes: nothing.
Returns: each form's name, page count and field count, when it was added, how many times it has been filled and when it last was, plus how many the workspace holds and how many are listed.
Example
You open a package, attach nothing, and type: "did I ever fill the W-9?"
The agent lists your library, finds the W-9 with three fills and the last one in March, and says so. Nothing is uploaded and nothing is filled, which is the whole answer to what was asked.
Limits
- Forty forms per call. The result says how many the workspace holds in all, and the agent is told to say so rather than presenting the page as the whole library.
- A fill that produced no document does not count. A form whose fill failed still reads as never filled, because an attempt is not something you did with the form.
- A form nobody named reads as unnamed. The listing carries the name the form was stored under, and says so when there is none.
- It is the workspace's library, not one person's. Every form the workspace holds is listed, whoever added it.
- A deleted form is not in it.
FAQ
Can the agent fill a form I did not attach?
Yes, when it is already in your library. The agent finds it there by name and fills it as it stands, with nothing to upload or convert first.
Why does it say I never filled a form I did fill?
A fill counts once it produced a document. A run that started a fill and ended with nothing is not counted, so a form whose fills all failed reads as never filled.
I have hundreds of forms. Does it list them all?
No. One call answers with the forty most recently added and says how many there are in all, and the agent is told to pass that on rather than treat the page as everything you have.
