Show What a Past Fill Was Made From

Shows what the last finished fill of a form was made from: the documents, what was typed, and the values that reached the page.

Overview

Your form library says a form was filled and when. This says what went into it.

Ask what you sent last time, or ask for the same form again with one figure changed, and the agent has to know what "the same" was. This is where it finds out, and what it finds is your own data, so the answer is the record itself rather than a description of it.

When the Agent Chooses This Tool

Available in the Fill Any Form workflow. The appraisal-report, pre-bid and coating QA workflows do not have it.

  • You ask what data you gave, or what a form said last time.
  • You want a previous fill repeated or amended.
  • You are never told your own data cannot be seen before this has been called: the instructions forbid that answer outright.

Inputs and Outputs

Takes: one form from your library.

Returns: when it was filled and a link to that fill, the documents and notes it was made from, the values that reached the page with how many there were in all, and how many fields were filled out of the total.

Example

Last month you filled a certificate of liability insurance. Today you open a package and ask what you sent for it.

The agent names the two documents you gave, quotes the note you typed, reads back the values that went on the page, and links the fill itself on the form's name, so the rest of it is one click away.

Limits

  • The last one only. A call describes the form's most recent finished fill, and there is no way back to the one before it.
  • Sixty values per answer. Anything past that is left out of the answer, not left blank, and the answer says how many there were in all.
  • A long note is cut short. What comes back is the start of it, not the whole correspondence.
  • A document whose file is gone is named, not linked.
  • It is the workspace's last fill of that form, not yours. When a colleague filled the same form after you, theirs is the fill described.
  • A fill that produced no document is not described. Only a fill that finished counts as the last one.

FAQ

Can it show me an older fill, not the last one?

No. One form gives one answer, the most recent fill of it that finished.

Why does it list only some of the values?

An answer carries up to sixty filled values and says how many there were in all. A field missing from the list was left out of the answer, not left blank on the form.

Can I get back the documents I sent?

Yes, while the fill still holds them. Each document comes back with its own download address and the agent writes the filename as the link to it.
