Subject: Update for Project 4492 - Addition of Heat Exchanger Baffles

Hi Sarah,

I hope you're having a good week. I spoke with the client over at Mid-Atlantic Steel regarding the modifications needed for the current thermal oxidizer installation. We’ve settled on the scope of the change order (CO# 2026-08) for Job #4492. As requested, we need to add a set of stainless steel heat exchanger baffles to improve efficiency. The total cost for the labor and the raw materials for this scope adjustment is $8,450.00.

Please go ahead and draft the paperwork dated today, October 14, 2026. Since the client is issuing a new budget allocation for this, please don't use the old PO. Use the new Purchase Order #PO-88291 instead. Regarding the financial terms, the client isn't happy with our standard net-30. They have requested that we apply a custom 50/50 split: 50% due upon approval and the final 50% due upon delivery of the baffles.

I’ve already discussed these details with the plant manager, Mr. Henderson, and he confirmed via phone that he is ready to authorize the work once he sees the sign-off sheet. I'll be handling the project management sign-off on our side once you have the form ready. Just send it over to me for final review before I forward it to Henderson for his digital signature. We need to move fast on this because the materials have a four-week lead time. Let me know if you need any other details from the meeting notes.

Best,

Marcus Vane
