How to fill the HW027 Online Claiming Provider Agreement for every provider in under a minute
Every health care provider or organization in Australia that wants to claim online with Medicare and the Department of Veterans' Affairs (DVA) first completes the HW027 Online Claiming Provider Agreement from Services Australia. A practice that brings on several providers fills one for each of them. By hand, an HW027 takes 20–30 minutes. Instafill.ai fills it from saved provider details in under a minute, ready to print and sign.

The challenge
The HW027 runs to four pages and 28 questions: the provider's name and Medicare provider number, the Registration Authority (RA) number for PKI or PRODA access, the practice or organization details, the bank account that online payments go to, an optional Australian Immunisation Register (AIR) section and a signed declaration.
The same provider and practice details come up in several sections. Phone numbers, BSB codes, account numbers and dates have to fit into split, fixed-length boxes. Which sections apply depends on the submission: questions 13 to 17 are for a practice, 18 to 22 for an organization, and 25 to 26 only when software is registered with the AIR. A large organization repeats all of this for every provider it brings on, at 20–30 minutes a form, and longer when a detail is missing.
The solution
Instafill.ai reads every field on the HW027, split boxes included, and works out what each one asks for. The official PDF is already fillable. A printed or scanned copy works too: flat-to-fillable conversion turns it into a fillable form first.
Each provider's and practice's details are kept once in a reusable profile and fill every HW027 after that. Details can also come straight from the files that hold them, such as a spreadsheet, a scanned document or an email, through filling from documents.
To onboard many providers at once, a spreadsheet with one row per provider goes through batch filling, which produces dozens of completed HW027 forms in one run. Phone numbers, BSB codes, dates and account numbers are formatted to fit the form's boxes, and the optional sections are filled or skipped according to the data.
Services Australia asks for the declaration at question 28 to be signed by hand, so the filled PDF comes out ready to print, sign and send. Organizations that need their data kept in the country can store it in Australia.
The results
| By hand | With Instafill.ai | |
|---|---|---|
| Time per HW027 | 20–30 minutes | Under 1 minute |
| Provider details | Typed again on every form | Kept once in a profile |
| Many providers | One form at a time | Dozens in one batch |
| Split boxes and formats | Checked by eye | Formatted to fit |
For a practice or organization that registers providers regularly, the HW027 stops being a half-hour typing job per provider and becomes a quick check before signing.
The HW027 form

The HW027 is the Services Australia form that providers and organizations whose main role is providing health care use to apply for online claiming with Services Australia and DVA.
It asks for the provider's details, software and security access, practice or organization details, the bank account for online payments, AIR software registration and the declaration. A provider not yet registered for online claiming also completes the Bank account details for Online Claiming (HW052) form.
